The document owner may choose to restrict Draft, Review, Approval, and Published document access to only the specified audiences.  Additionally, document owners may explicitly restrict or allow reviewers and approvers to view the comments entered by others.  These access restrictions must be set by the owner and co-owner in the Advanced properties window.  The settings may be changed at any time should the owners wish to modify the restrictions.

 

To restrict document access to only specified audiences:

 

1.To change document access properties, click the more link under the Tools Menu | Properties section.  The Properties window will display.

2.On the Properties window, click the Advanced link.

3.To restrict access to the document to only groups or individuals specified in the Review, Approval, and Audience, click the Confidential check box:

 

 

4.The document may now be accessed only by reviewers, approvers, and audiences defined by the owner.

5.To allow access by anyone, leave the Confidential check box unchecked.

6.Press Save to save the setting. The setting may be changed by the owner at any time.

 

The owner and co-owner may also use Advanced properties to manage access to reviewer and approver comments:

 

1.To allow document reviewers to view comments entered by other designated reviewers, check the View Review by check box.

2.To prevent reviewers from seeing each other’s comments, leave the View Review by check box unchecked.  Only the document owner will be able to see reviewer comments.

3.To allow document approvers to view comments entered by other designated approvers, check the View Approval by check box.

4.To prevent approvers from seeing each other’s comments, leave the View Approve by check box unchecked.  Only the document owner will be able to see approver comments.
